Jewellery & Diamonds Operations Specialist

About the Role

We are looking for a detail-oriented and proactive Diamonds & Jewellery Operations Specialist to manage day-to-day operations related to order management, inventory planning, diamond sourcing, product catalogues, and order fulfilment. The ideal candidate should have hands-on experience working with diamonds, a good understanding of diamond sourcing, basic jewellery knowledge, and strong Excel skills. This role involves coordinating with multiple teams to ensure smooth, accurate, and timely order fulfilment.

Key Responsibilities

• Order Management & Coordination: Manage orders from initiation to fulfilment, track order status, and ensure timely processing and delivery.
• Inventory Planning: Monitor inventory levels, maintain accurate stock records, and support inventory planning based on order requirements.
• Diamond Sourcing: Identify and source diamonds based on product specifications, quality requirements, availability, and business needs.
• Product Catalogue Management: Create, update, and maintain accurate product catalogues, product details, and inventory information.
• Excel & Data Management: Work extensively with Microsoft Excel for inventory tracking, order reports, data analysis, reconciliation, and operational reporting.
• CSV Management: Prepare, review, upload, and maintain CSV files for product listings, inventory updates, and order-related data.
• Cross-functional Coordination: Act as a key coordinator between sourcing, inventory, sales, production, merchandising, and other relevant teams to ensure seamless order fulfilment.
• Order Tracking & Follow-ups: Follow up with relevant teams and vendors to resolve order-related issues, delays, and inventory discrepancies.
• Data Accuracy: Ensure the accuracy and consistency of product information, diamond specifications, pricing details, and inventory records.
• Process Improvement: Identify opportunities to improve operational efficiency, data accuracy, and order fulfilment processes.

Requirements & Tech Stack

• Prior hands-on experience working with diamonds, preferably in diamond sourcing, trading, jewellery operations, or a related role.
• Good understanding of diamond quality, specifications, grading parameters, and sourcing processes.
• Basic knowledge of jewellery, jewellery components, and product specifications.
• Strong working knowledge of Microsoft Excel, including data handling, lookups, sorting, filtering, and reporting.
• Experience working with CSV files, product data, inventory records, or catalogue management.
• Good organizational and coordination skills, with strong attention to detail.
• Ability to manage multiple orders and operational tasks simultaneously.
• Strong communication and follow-up skills to coordinate effectively across teams.
• A proactive, problem-solving mindset and the ability to work in a fast-paced environment.

Qualifications

• Practical diamond industry experience.
• Understanding of diamond sourcing.
• Comfortable working extensively on Excel.
• Ability to coordinate multiple teams to ensure smooth order fulfilment.
