AI and Workflow Automation Specialist
XL KPO Services
About The Role
XL KPO Services supports accountancy practices across the UK and Ireland. We are hiring a full-time specialist to review how work moves through our business and build practical automations, integrations and internal tools that reduce manual effort, improve accuracy and help our teams focus on review and higher-value work.
Location: Ahmedabad, Mumbai or Jamnagar
Work arrangement: Full-time, work from office
Working week: Five days; Indian shift and holidays
You will work with teams across bookkeeping, accounts, payroll, audit, tax and compliance to understand current processes, identify suitable opportunities and take solutions from assessment through build, testing, rollout and support. The role combines process analysis with hands-on technical delivery.
Key Responsibilities
- Meet with operational teams and managers to document workflows, hand-offs, bottlenecks and recurring errors.
- Identify repetitive, time-consuming or error-prone tasks that can be improved through automation or better system connections.
- Assess opportunities by expected time saved, accuracy, client or operational risk, implementation effort and user adoption.
- Build and maintain workflow automations, system integrations, scripts and lightweight internal applications.
- Use APIs, webhooks and common data formats to connect systems and reduce duplicate data entry.
- Evaluate appropriate AI uses, including document extraction, classification, summarisation, data checks and internal knowledge retrieval.
- Build in testing, exception handling, audit trails and human review where required; explain the limits of each solution.
- Test solutions with realistic cases, resolve issues before rollout and support teams as they adopt the new process.
- Measure results such as processing time, hours saved, error rates, rework and adoption, and report progress to management.
- Maintain clear technical documentation, user guidance and support procedures.
- Follow company information-security, confidentiality and data-protection requirements when handling client or employee information.
Requirements & Tech Stack
- Practical experience building workflow automations, integrations or internal tools.
- Working knowledge of APIs and data formats such as JSON, CSV or XML.
- Scripting experience in Python or JavaScript, or comparable programming skills.
- Experience with one or more automation platforms, such as Microsoft Power Automate, Make, n8n or Zapier.
- Familiarity with AI or LLM services, including validation methods and common limitations.
- Strong process-analysis and problem-solving skills, with the ability to translate business needs into clear technical steps.
- Clear communication skills and confidence working with non-technical colleagues.
- A careful approach to testing, documentation, security and sensitive data.
Preferred Experience
- Around three or more years of relevant experience in automation, software development, systems integration or process improvement.
- Experience with finance, accounting, payroll or professional-services workflows.
- Familiarity with systems used in our environment, such as Xero, QuickBooks, Sage, BrightBooks, BrightPay, Dext, XPM, Microsoft Teams or Zoho People.
- Experience tracking the operational impact of tools after launch.
What Success Looks Like
- Teams spend less time on repetitive manual work and duplicate data entry.
- Selected workflows become faster, more consistent and easier to monitor.
- Automated outputs are testable, traceable and straightforward for staff to review.
- Errors, rework or delays decrease in the processes selected for improvement.
- Solutions are adopted by the teams they were designed to support and have clear documentation and ongoing ownership.
How We Approach Automation
We expect the specialist to understand a process before automating it and to recommend AI only where it adds practical value. Solutions must be reliable, secure and usable by the teams who depend on them, with appropriate validation and human approval.
