About the Role

We're looking for a detail-oriented, proactive Diamonds & Jewellery Operations Specialist to manage day-to-day operations across order management, inventory planning, diamond sourcing, product catalogues, and order fulfilment. The ideal candidate has hands-on experience with diamonds, a good understanding of diamond sourcing, basic jewellery knowledge, and strong Excel skills. You'll coordinate with multiple teams to keep every order accurate and on time.

Key Responsibilities

• Order management and coordination: manage orders from initiation to fulfilment, track status, and ensure timely processing and delivery.
• Inventory planning: monitor inventory levels, keep stock records accurate, and support planning based on order requirements.
• Diamond sourcing: identify and source diamonds based on product specifications, quality requirements, availability, and business needs.
• Product catalogue management: create, update, and maintain accurate product catalogues, product details, and inventory information.
• Excel and data management: use Excel extensively for inventory tracking, order reports, data analysis, reconciliation, and operational reporting.
• CSV management: prepare, review, upload, and maintain CSV files for product listings, inventory updates, and order data.
• Cross-functional coordination: act as the key link between sourcing, inventory, sales, production, merchandising, and other teams.
• Order tracking and follow-ups: follow up with teams and vendors to resolve order issues, delays, and inventory discrepancies.
• Data accuracy: keep product information, diamond specifications, pricing details, and inventory records accurate and consistent.
• Process improvement: find ways to improve operational efficiency, data accuracy, and order fulfilment.

Requirements & Tech Stack

• Hands-on experience working with diamonds, preferably in diamond sourcing, trading, jewellery operations, or a related role.
• Good understanding of diamond quality, specifications, grading parameters, and sourcing processes.
• Basic knowledge of jewellery, jewellery components, and product specifications.
• Strong working knowledge of Microsoft Excel, including data handling, lookups, sorting, filtering, and reporting.
• Experience with CSV files, product data, inventory records, or catalogue management.
• Good organisational and coordination skills, with strong attention to detail.
• Ability to manage multiple orders and operational tasks at once.
• Strong communication and follow-up skills to work effectively across teams.
• A proactive, problem-solving mindset and the ability to work in a fast-paced environment.

Good to Have

• Experience in diamond or jewellery companies, jewellery e-commerce, retail, manufacturing, or sourcing operations.
• Familiarity with inventory management systems, product information systems, or order management tools.
• Experience managing product catalogues and bulk product data uploads.

Qualifications

Candidates with practical diamond industry experience who understand diamond sourcing, are comfortable working extensively in Excel, and can coordinate multiple teams to keep order fulfilment smooth. This is an on-site role in Mumbai, and candidates who can join immediately or at short notice will be given preference.
