Financial Advisor Administrative Associate

About the Role

Independence Financial Services LLC, a wealth management and financial planning firm, is seeking an Administrative Associate to provide administrative support and appointment preparation to an advisor. The firm specializes in retirement planning and wealth management for high net worth clients.

Key Responsibilities

• Answer phones, schedule appointments, and prepare materials for client meetings
• Keep client management systems up-to-date with client information
• Assist with information and documentation requirements for new accounts, transfers, and other administrative tasks
• Conduct proactive outreach to clients and advisors on time-sensitive activities (e.g., RMDs)
• Assist with operational account activities, including new accounts, cash management, transfers, and account maintenance (e.g., periodic distributions, debits)
• Assume ownership of inquiries and requests, communicating with internal departments to ensure timely service delivery
• Educate clients on account services, capabilities, and new technology
• Perform record keeping and filing as necessary
• Order office supplies when needed
• Maintain the front of the office

Requirements & Tech Stack

• Microsoft Excel, Word, Outlook, PowerPoint proficiency
• Ability to work in office Monday-Friday, 8:30 AM - 4:30 PM (Full Time)

Qualifications

• Bachelor’s Degree (Preferred)
• Notary (Preferred)
• Strong attention to detail
• Organized
• Excellent communication and client service skills
• Desire to take ownership and provide excellent customer service
• Energetic self-starter with a positive attitude
• Pro-active with the ability to think ahead and act independently
• Ability to work well in a team environment, supporting others
• Ability to prioritize and switch tasks as needed
