- Support faculty administration, including executing agreements, processing timesheets and evaluations, and payroll preparation.
- Maintain accurate records, calendars, and scheduling systems; coordinate appointments and communicate schedule changes to faculty and students.
- Prepare the weekly student newsletter and studio announcements; manage shared inbox communications.
- Help coordinate orientations, open houses, graduation, theatre outings, and other studio events.
- Support daily studio operations by covering the front desk, purchasing and restocking supplies, running occasional errands, managing basic upkeep and minor repairs.
- Arrange business travel and provide administrative support to studio leadership.
- Use approved digital and AI tools responsibly to organize work and improve recurring processes.
Requirements & Tech Stack
- Proficiency with Google Workspace or Microsoft Office.
- Familiarity with database or CRM systems and calendar management tools.
- Willingness to learn new platforms.
- Ability to use AI tools thoughtfully, verify outputs, and protect confidential information.
Qualifications
- Experience in operations, administration, student services, or program coordination, preferably in an arts or educational setting.
- Strong organization, attention to detail, and the ability to manage competing deadlines and follow tasks through to completion.
- Excellent communication, writing, editing, and customer service skills.
- Ability to work independently and collaboratively on a small team, take ownership of assigned responsibilities, and adapt to shifting priorities while keeping ongoing tasks and deadlines on track.
- A proactive approach, comfort working independently, and good judgment about when to seek guidance.
- Discretion when handling confidential student, faculty, staff, and financial information.
- Experience with payment processing, database management, or scheduling preferred.
- Bachelor’s degree preferred, or an equivalent combination of education and relevant experience.
