Anything in [brackets] still needs your details. Changing the form rewrites the email, so finish the form first, then edit.

When to send it

  • Send it within 24 hours of the interview. For a phone screen, the same day is best.
  • After a panel or onsite, email each person you met, and change at least one line in each message.
  • Mention one specific thing you talked about. It is what makes the note read as written for them.
  • Proofread the name, the company and the job title before you send.

How to use it

  1. Enter your name, the interviewer's name, the job title and the company.
  2. Choose the interview type and add one specific thing you discussed.
  3. Edit the email, copy the subject and body, and send it within 24 hours.

What to include in a thank-you email

A good thank-you note is four short parts. Thanks: name the job and thank them for their time. One specific detail: something you really talked about. It proves you were listening. Why you fit: one sentence that ties your skills to what they need. Close: offer anything else they need and say you look forward to next steps. Keep it under 150 words. It is a note, not a second cover letter.

Thank-you notes after a panel or several interviews

Write to each person separately and change at least one line, since they may compare notes. If you only have one email address, such as the recruiter's, send a single thank-you to the recruiter and ask them to pass it on to the team. Mention each person by name and what you talked about with them when you can.

Frequently asked questions

How soon should I send a thank-you email after an interview?

Within 24 hours. For a phone screen, send it the same day. A late note is still better than none, but a quick one can reach the hiring team before they decide.

Is a thank-you email after an interview necessary?

It is not required, but it helps. It shows you are polite and interested, and it gives you one more chance to remind them why you fit. For a close decision, it can matter.

Should I send an email or a handwritten note?

Email, almost always. Hiring decisions often happen within days, and an email arrives right away. A handwritten card can be a nice extra for a small company, but never instead of email.

What should the subject line be?

Keep it plain and easy to find: “Thank you: Data Analyst interview”. Avoid jokes or all caps, and put the job title in so they know which role you mean.

What if I don't know the interviewer's email?

Reply to the scheduling email you received, or ask the recruiter who set up the interview. You can also look for the interviewer's work email in the invite. Don't guess addresses or message them through personal accounts.
