Operations Associate, Fleet Manager

About the Role

The Operations Associate – Fleet Manager is responsible for maintaining the Instacore fleet. This role ensures visibility and control over rig location, condition, and readiness for recording. Key tasks include managing faulty rig recovery, SD card rotation, coordinating Field Officer travel, and overseeing inter-city rig movements to ensure the fleet operates efficiently and supports data collection goals.

Key Responsibilities

• Fleet Tracking: Maintain a live, accurate view of every rig across cities and hubs (deployed, in-transit, idle, faulty, in-repair), tracked at serial-number level.
• Faulty Rig Recovery: Ensure faulty rigs are promptly returned to hubs; coordinate with QC / Hardware for repair or replacement to minimize downtime.
• SD Card Rotation: Manage the SD-card pool from issuance to collection, tracking, and rotation to ensure timely data offloading and availability of clean cards.
• Travel Desk Coordination: Arrange Field Officer bookings, travel, and accommodation for timely and cost-effective deployments.
• Hub & Inter-City Coordination: Coordinate the movement of rigs between hubs and the field to match operational needs.
• Loss & Reconciliation: Conduct daily reconciliation of rigs and SD cards, follow up on overdue or missing assets, and escalate issues as needed.
• Reporting: Share daily fleet status reports with operations leadership and maintain trackers in Google Sheets.
• Cross-Functional Work: Partner with Field Officers, Inventory, QC/Hardware, and the Travel desk to resolve issues and optimize utilization.

Requirements & Tech Stack

• Mandatory:
• 0–3 years in operations, logistics, fleet, or inventory coordination.
• Strong tracking discipline.
• Proficiency with Google Sheets (filters, lookups, basic formulas).
• High ownership and follow-through, with the ability to coordinate across multiple teams.
• Comfort in a fast-paced, on-ground operations environment.
• Preferred:
• Experience with asset/inventory/serialized-device tracking or field logistics.
• Experience coordinating travel or vendor logistics.
