About the Role

Advyzon is seeking an organized, service-oriented Jr. HR & Workplace Coordinator to support the Human Resources team while managing the day-to-day readiness of our Chicago office. This is an entry-level opportunity for someone interested in building a career in Human Resources while also taking ownership of the employee workplace experience. The role combines junior HR administration, recruiting and onboarding coordination, employee records and compliance support, and general office operations. This position is fully in office in Chicago.

Key Responsibilities

  • Support new-hire onboarding, including preparing onboarding materials, coordinating first-day logistics, collecting required documentation, and helping ensure a smooth employee experience.
  • Assist with employee offboarding by coordinating documentation, company property return, access-related notifications, and other departure logistics.
  • Maintain accurate employee records and HR files, including routine HRIS data entry, document organization, and recordkeeping support.
  • Support recruiting administration by scheduling interviews, coordinating candidate communications, preparing interview materials, and assisting with offer and pre-employment logistics.
  • Track completion of required training, acknowledgments, forms, and other recurring HR compliance items; follow up with employees as needed.
  • Assist HR with benefits, payroll, and employee-data administration by collecting information, routing questions, preparing routine reports, and escalating issues appropriately.
  • Respond to routine employee questions regarding HR processes, policies, forms, and programs, and route more complex or sensitive matters to the appropriate HR team member.
  • Support employee engagement activities, office events, recognition programs, meetings, and other HR initiatives.
  • Assist with HR reporting, audits, document preparation, policy distribution, and other administrative projects.
  • Maintain confidentiality and exercise appropriate judgment when handling employee information and HR-related matters.
  • Own the day-to-day organization, appearance, and readiness of the Chicago office, including workspaces, conference rooms, kitchens, supply areas, storage rooms, and common spaces.
  • Order and stock office and kitchen supplies; monitor inventory, receive deliveries, organize storage, and maintain appropriate reorder levels.
  • Perform light day-to-day workplace upkeep, including tidying shared areas, restocking supplies, setting up meeting spaces, and addressing minor office needs between cleaning visits.
  • Manage incoming and outgoing mail, packages, and shipments, including receiving, distribution, tracking, courier coordination, returns, and shipping materials.
  • Maintain inventories of office supplies, furniture, keys, access cards, and other company-owned workplace items.
  • Serve as the primary office contact for cleaning services, food and beverage providers, delivery services, office vendors, and building management.
  • Report building-related issues such as HVAC, plumbing, electrical, access, or common-area concerns to property management and follow through until resolved.
  • Coordinate visitor logistics, meeting setup, food deliveries, desk assignments, small office moves, and other in-office activities.
  • Review routine office purchases and invoices and partner with HR and Finance on approvals, budgets, and vendor administration.
  • Identify practical ways to improve office organization, employee experience, and recurring HR or workplace processes.

Qualifications

  • 0-2 years of professional experience; prior internship, administrative, HR, office operations, hospitality, or customer-service experience is helpful but not required.
  • Interest in developing a career in Human Resources and willingness to learn HR processes, systems, compliance requirements, and employee-support practices.
  • Strong organizational skills, attention to detail, and ability to manage multiple recurring responsibilities and follow through reliably.
  • Professional, responsive, and service-oriented communication style when interacting with employees, candidates, visitors, vendors, and company leadership.
  • Ability to handle confidential information with discretion and good judgment.
  • Comfort with hands-on office responsibilities, including stocking supplies, receiving packages, setting up rooms, and keeping shared spaces organized.
  • Ability to work independently, recognize what needs attention, prioritize competing needs, and escalate issues appropriately.
  • Working knowledge of Microsoft 365 applications preferred; experience with an HRIS, ATS, or payroll system is a plus but not required.
  • Bachelor’s degree in Human Resources, Business, Communications, or a related field required.
  • This is a full-time, in-office position based in Advyzon's Chicago office.
