About the Role

As a Front Desk employee, you are the first point of contact for our patients and represent The Art of Skin Clinic externally. This position is to be filled full-time and will be fully remote, working in a virtual front desk environment.

Key Responsibilities

• Friendly reception and forwarding of phone calls.
• Processing inquiries via email and online channels.
• Coordinating appointments.
• Maintaining patient records in our digital systems.
• Ensuring all information is recorded accurately.
• Supporting administrative tasks.
• Working closely with the medical team to ensure a structured workflow.

Requirements & Tech Stack

• Communication: Strong communication skills and a confident, friendly manner of expression in direct contact, as well as via phone and digital channels.
• Receptionist Duties: Experience in typical reception activities such as appointment scheduling, patient reception in digital environments, and structured office organization.
• Customer Service: High service orientation, empathy, and professional handling of patient inquiries, feedback, and complaints.
• Phone Etiquette: Confident phone etiquette, calm and professional conversation management, and structured forwarding of information.
• Computer Literacy: Good computer skills, confident use of common office programs, practice software, or CRM systems, and routine in digital communication and planning tools.

Qualifications

• First experiences in a medical or cosmetic environment are advantageous.
• Very good German language skills (written and spoken).
• Good English language skills.
• Meticulous work approach.
• Ability to work independently and reliably from home.
