About the Role
This role helps the company stop paying for software it does not use. It is a hands-on entry-level position for someone who likes both technology and numbers. You will learn IT asset management, vendor management, and basic IT finance under the guidance of senior IT and Finance staff.
Key Responsibilities
Software and Subscription Inventory
- Build and maintain a central register of all software licenses, SaaS subscriptions and cloud services, including owner, cost, seat count, billing cycle and renewal date.
- Find unmanaged or "shadow IT" subscriptions by reviewing expense reports, corporate card statements and invoices with Finance.
- Keep license and contract documents organized and easy to retrieve.
Usage Monitoring and Optimization
- Pull usage and login data from admin consoles (e.g. Microsoft 365, Google Workspace, Adobe, Zoom, Slack) to identify inactive or underused licenses.
- Recommend actions such as reclaiming seats, downgrading license tiers, consolidating overlapping tools or cancelling unused subscriptions.
- Reassign freed-up licenses to new users before new ones are purchased.
Renewals and Vendor Support
- Maintain a renewal calendar and alert owners 60–90 days before each renewal or auto-renewal date.
- Gather usage data and quotes to support the IT Manager and Procurement in vendor negotiations.
- Track vendor contacts, contract terms and notice periods.
Onboarding and Offboarding
- Work with HR and the IT helpdesk to assign software to new hires and remove access and licenses promptly when staff leave or change roles.
- Check monthly that departed employees no longer hold paid licenses.
Reporting and Compliance
- Prepare a monthly report of total software spend, savings achieved and upcoming renewals.
- Help reconcile software invoices against the register and budget with Finance.
- Support software license audits and help keep the company compliant with vendor license terms.
- Document processes and suggest improvements to software request and approval workflows.
Qualifications
Required
- Bachelor's degree in Information Technology, Computer Science, Information Systems, Business Administration or a related field (fresh graduates welcome).
- 0–2 years of experience in IT support, IT administration, procurement or a related role, including internships.
- Working knowledge of Microsoft Excel or Google Sheets: formulas, filters, pivot tables and basic charts.
- Basic understanding of software licensing models such as per user, per device, subscription and perpetual.
- Good written and spoken English.
Preferred
- Experience using admin consoles for Microsoft 365, Google Workspace or similar platforms.
- Exposure to IT asset or service management tools (e.g. ServiceNow, Snipe-IT, Freshservice, Jira Service Management) or SaaS management platforms (e.g. Zylo, Torii, Productiv).
- Familiarity with purchase orders, invoices and budgets.
- Interest in or progress toward certifications such as ITIL 4 Foundation or IAITAM CSAM.
Skills and Competencies
- Attention to detail: keeps records accurate and spots small discrepancies in invoices and seat counts.
- Analytical thinking: turns raw usage data into a clear recommendation with an estimated saving.
- Organization: tracks many renewal dates and follow-ups without missing deadlines.
- Communication: explains to non-technical colleagues why a license is being removed or changed, politely and clearly.
- Integrity and discretion: handles contract prices and vendor information confidentially.
- Eagerness to learn: picks up new tools, admin consoles and vendor terms quickly.
