Veterinary CSR

About the Role

The Veterinary CSR (Customer Service Representative) is a full-time, on-site role at ANIMAL HEALTH AND WELLNESS VETERINARY OFFICE P.C. in East Setauket, NY. This role serves as the primary point of contact for clients.

Key Responsibilities

• Manage phone calls, emails, and in-person inquiries with professionalism and empathy.
• Schedule appointments and confirm visits.
• Check clients in and out.
• Process payments.
• Accurately enter and update client and patient information in practice management systems.
• Coordinate communication and relay medical and service information to clients.
• Assist with resolving concerns to maintain a positive client experience.
• Perform administrative tasks such as filing and record maintenance.
• Ensure the reception area remains clean, organized, and welcoming.

Requirements & Tech Stack

• Proficiency with computers and practice management or scheduling software.
• Strong attention to detail when entering and reviewing client and patient information.

Qualifications

• Strong customer service and customer experience skills.
• Ability to communicate clearly and respectfully in person, by phone, and in writing.
• Experience in customer support and maintaining customer satisfaction.
• Ability to handle questions, concerns, and follow-up in a timely, solution-focused manner.
• Background working as a Customer Service Representative or in a similar front desk or client-facing role in a medical, veterinary, or service-oriented environment.
• Ability to multitask in a busy environment, prioritize responsibilities, and remain calm and organized during peak times.
• Reliable, punctual, and comfortable working on-site with a collaborative veterinary team.
• Ability to maintain confidentiality and adhere to practice policies.
• Compassion for animals and their caregivers.
• Professional, empathetic approach to emotionally sensitive situations.
• High school diploma or equivalent required.
• Prior veterinary or healthcare reception experience is preferred.
