This position focuses on pre-screening patients against study eligibility criteria, educating them about available research studies, scheduling qualified participants, and supporting follow-up activities that improve attendance and engagement. The role is ideal for someone who enjoys patient interaction, is comfortable with medical terminology, and thrives in a fast-paced, metrics-driven environment, with strong potential to grow into a clinical research coordinator role over time.
Key Responsibilities
- Conduct high-volume outbound and inbound phone outreach to prospective clinical trial participants, making 50 or more calls during an eight-hour shift.
- Warm call patients from a registry sourced from a private practice to inform them about current clinical research studies and assess interest in participation.
- Pre-screen patients against study-specific eligibility criteria using medical and clinical information to determine initial suitability for enrollment.
- Clearly explain research studies, including purpose, procedures, and participation expectations, in a patient-friendly and professional manner.
- Schedule qualified patients for study visits and ensure accurate and complete documentation of appointments and related information.
- Perform follow-up calls and outreach to improve show rates, confirm appointments, and address patient questions or concerns prior to visits.
- Obtain and organize relevant medical records when needed to support eligibility assessment and study enrollment processes.
- Document all recruitment activities, patient interactions, and outcomes in clinical trial management systems (CTMS), recruitment platforms, and ClinPro electronic medical record (EMR).
- Utilize strong phone etiquette and customer service skills to build rapport, maintain patient trust, and provide a positive experience throughout the recruitment process.
- Spearhead social media recruitment campaigns to attract potential participants, promote ongoing studies, and expand the patient pipeline.
- Apply patient recruitment strategies tailored to specific therapeutic areas such as gastroenterology, hepatology, dermatology, immunology, rheumatology, allergy and asthma, and rare and specialty diseases.
- Collaborate with clinical research and site staff to align recruitment activities with study timelines, enrollment goals, and protocol requirements.
- Maintain meticulous attention to detail in tracking metrics, documenting interactions, and following standardized processes in a fast-paced environment.
- Continuously learn about clinical research studies and protocols to effectively communicate study information and answer basic patient questions.
- Contribute to a culture of ethical research, patient safety, and regulatory compliance in all recruitment and communication activities.
Requirements & Tech Stack
- Strong phone presence and professional phone etiquette in a high-volume call environment.
- Demonstrated patient-facing or customer service experience, ideally in healthcare, call center, sales, CNA, MA, or similar high-contact roles.
- Comfort with medical terminology and the ability to discuss basic clinical concepts with patients in a clear and understandable way.
- Experience working in a fast-paced, metrics-driven environment with call volume and recruitment targets.
- Attention to detail in documenting patient information, tracking interactions, and updating CTMS, recruitment systems, and EMR (ClinPro).
- Ability to warm call patients from registries and effectively communicate the value and purpose of clinical research participation.
- Strong interpersonal and communication skills, with the ability to build rapport and trust with diverse patient populations.
- Organizational and time-management skills to handle high call volumes, follow-ups, and scheduling responsibilities throughout the day.
- Interest in and willingness to learn about clinical research, study protocols, and patient recruitment strategies.
- Capability to spearhead or actively support social media recruitment campaigns for clinical trials.
Additional Skills & Qualifications
